Step 4 — Expert Review & Appointment Facilitation

Our visa consultants will thoroughly review and verify your documents, accurately complete your Schengen visa application form, prepare all required supporting documents, and facilitate your VFS Global appointment in accordance with your selected service tier. Should any document gaps or discrepancies be identified, our team will contact you promptly to resolve them before submission.

Step 5 — Appointment Confirmation & Final Preparation

Once your appointment is successfully secured, you will receive the following directly from our team:

  • VFS Global appointment confirmation letter
  • Completed visa application form
  • Final document checklist for your centre visit

You will then be required to attend your appointment at the designated VFS Global centre in person for biometric submission and document handover.

A Note on Appointments

Appointment slots are managed solely by the respective Schengen embassies, consulates, and VFS Global. In rare and exceptional circumstances, a confirmed appointment may be rescheduled or cancelled — this can occur at the discretion of the embassy or consulate, including instances where they are required to honour a priority request from a government authority or official delegation, or due to operational requirements or unforeseen circumstances at VFS Global. Such changes are entirely beyond the control of Rayna Tours.

In such instances, the embassy, consulate, or VFS Global may notify either the applicant directly or Rayna Tours — this varies on a case by case basis. Should you receive any such communication directly, we kindly request that you inform our team immediately. Equally, should Rayna Tours be notified, we will communicate the update to you promptly and work diligently to secure the next available appointment at the earliest opportunity.

What is a Schengen Visa?

A Schengen visa is an official travel authorisation that permits its holder to enter, travel freely across, and stay within the Schengen Area — a unified travel zone comprising 29 countries across Europe where internal border controls have been abolished. A single visa grants seamless access to all member nations without the need for separate country-specific visas.

Under the standard short-stay rule, a Schengen visa allows a stay of up to 90 days within any 180-day rolling period, across the entire zone combined — not per country individually.

Visa Validity, Entries & Permitted Stay

Your Schengen visa validity, number of entries, and permitted stay are all determined individually by the issuing embassy — none of these are fixed. Validity can range from a few days to up to 2 or 5 years depending on your travel history and profile, while entries may be granted as single, double, or multiple. Importantly, a longer validity does not guarantee a longer stay — two travellers with visas expiring on the exact same date may be permitted to stay for different durations, for example one for 45 days and another for 60. Everything is assessed case by case, and all conditions stamped on your visa must be strictly respected.

Purpose of Travel

Schengen visas are issued for tourism, business, transit, family visits, and cultural, academic or sporting purposes.

The 29 Schengen Countries

Austria · Belgium · Bulgaria · Croatia · Czech Republic · Denmark · Estonia · Finland · France · Germany · Greece · Hungary · Iceland · Italy · Latvia · Liechtenstein · Lithuania · Luxembourg · Malta · Netherlands · Norway · Poland · Portugal · Romania · Slovakia · Slovenia · Spain · Sweden · Switzerland

The zone comprises 25 EU member states alongside 4 non-EU nations — Iceland, Norway, Switzerland and Liechtenstein — who participate through bilateral agreements.

How Rayna Can Help

At Rayna Tours, we manage your Schengen visa application end-to-end — from document preparation and appointment booking to submission and follow-up. Our experienced visa consultants across UAE, India and KSA are here to ensure your application is accurate, complete, and submitted on time.

Terms, Conditions & Important Guidelines

1. Scope of Service
Rayna Tours operates solely as a professional visa assistance provider. Our role is to guide applicants through the Schengen visa process — including document compilation, application assistance, and biometric appointment scheduling at the respective embassy or Visa Application Centre (VAC). We do not represent, act on behalf of, or have any affiliation with any Schengen embassy or consulate.

2. Visa Decision & Discretionary Authority
All decisions relating to visa approval or rejection, number of entries, permitted stay duration, additional documentation requests, interview requirements, and biometric obligations rest solely and entirely with the issuing embassy or consulate. Rayna Tours has no influence over, and accepts no liability for, the outcome of any visa application. During the examination of an application, the consulate reserves the right to request additional supporting documents beyond the standard checklist and may call the applicant for a personal interview at its sole discretion.

3. First Point of Entry
Your first point of entry into the Schengen Area must be the country that issued your visa. Entering through a different country may result in questioning at the border, and entry is not guaranteed — this decision rests entirely with the Border Control Officer at the port of entry. Adhering to this rule not only ensures a smooth immigration experience but also positively supports future visa applications.

4. Majority of Stay in the Issuing Country
The primary purpose of your visit must align with the details submitted in your visa application. As a general guideline, applicants should spend the majority of their time — at least 50% of the approved stay — in the country that issued the visa. Deviating significantly from the declared itinerary may raise concerns during future applications or at the point of entry.

5. Biometric Appointments
Where required, our team will make every effort to secure the earliest available biometric appointment at the designated embassy or VAC. However, the release, availability, scheduling, rescheduling, postponement, or cancellation of appointment slots is managed exclusively by the respective embassy or VAC and is entirely beyond our control. Any such changes will be communicated to applicants promptly, with all possible assistance provided to navigate the updated process.

A minimum gap of 15 days between the biometric appointment date and the intended travel date is mandatory. Applicants are required to attend their appointment on the confirmed date and time. Failure to appear may result in delays, forfeiture of the slot, and the requirement to rebook — subject to availability and applicable fees.

Please note: The completion of a biometric appointment does not constitute, imply, or guarantee visa approval or the right to enter any Schengen member country.

6. Overstaying Your Visa
Overstaying a Schengen visa — whether intentional or not — is recorded by immigration authorities across all member states. Consequences may include financial penalties, immediate deportation, or a ban from re-entering the Schengen Area. Applicants are strongly advised to plan their travel strictly within the dates and duration approved on their visa.

7. Non-Refundable Fees & Booking Integrity
All fees paid in connection with the visa application — including embassy visa fees, biometric charges, VAC service fees, and Rayna Tours service charges — are strictly non-refundable once the application process has been initiated, regardless of the outcome of the application or the applicant's ability to travel.

Rayna Tours strongly advises against the use of dummy or provisional hotel and flight bookings when submitting a Schengen visa application. Applicants must submit genuine, confirmed bookings. The use of fabricated travel documents may result in immediate visa refusal and can adversely impact future applications.

8. Understanding Schengen Visa Refusal Letters
Schengen visa refusal letters are intentionally drafted in broad, standardised language. This is consistent across all 29 member states and is by design, for the following reasons:

Standardisation — With 29 member countries each operating their own consular systems, refusal letters follow a uniform format to ensure consistency across the Schengen Area and to align with the shared legal framework governing visa decisions.

Legal Protection — Overly specific refusal reasoning could be perceived as discriminatory or expose the consulate to legal challenge. Broad wording protects the issuing authority while remaining compliant with established visa regulations.

Multiple Grounds — A refusal may be based on several concurrent factors. Rather than listing every individual concern, the letter references the relevant legal ground, keeping the communication clear and administratively manageable.

Processing Efficiency — Consulates process thousands of applications annually. Standardised refusal letters allow visa officers to manage high volumes efficiently, particularly in complex or borderline cases.

While a generic refusal letter can be frustrating, it is important to understand that it does not permanently close the door. Applicants retain the right to reapply, and a stronger application — with additional supporting evidence addressing the areas likely deemed insufficient — significantly improves the prospects of approval. Rayna Tours is here to assist you through that process.

9. Force Majeure & Circumstances Beyond Our Control
Rayna Tours shall not be held liable for delays, disruptions, or changes arising from circumstances beyond our control, including embassy closures, system outages, policy changes by issuing authorities, or any force majeure event. Our team will at all times endeavour to provide timely guidance and support under such circumstances.
