These Terms and Conditions form the legal basis for Rayna Tourism LLC’s (“Rayna Tours”) Japan visa services. By submitting your Japan visa application through our website or authorized channels, you provide your irrevocable consent to use our website and book our visa services in accordance with the terms set forth below. These Terms and Conditions constitute the entire agreement between you (the customer, client, or applicant) and Rayna Tours.
We kindly request that you read and fully understand all requirements and limitations before selecting Rayna Tours for your Japan visa application.
1. Scope & Procedures
Rayna Tours provides professional Japan visa assistance services for individuals who wish to travel to Japan. Our visa consultants assist in choosing the appropriate visa category, reviewing documentation, and submitting completed applications to the Embassy or Consulate of Japan on your behalf.
While Rayna Tours strives to ensure smooth processing, we are not liable for delays, non-approval, or rejection of the visa by the Embassy/Consulate for reasons including, but not limited to:
- Incomplete or incorrectly filled application forms
- Missing, invalid, or ambiguous supporting documents
- Submission of inaccurate personal information
- Non-booking or improper booking of flights or accommodations
- Internal delays or administrative requirements by the Embassy/Consulate
Applicants bear full responsibility for any expenses incurred due to the above causes.
Rayna Tours recommends booking your flight and hotel only after visa approval, unless otherwise required by the Embassy/Consulate. Transit policies must be confirmed with your airline as requirements vary.
2. Documentation
Before travel, you must ensure you possess all documents required by the Japanese Embassy/Consulate. Most countries require passports to have a minimum validity of six months from the travel date.
To support timely filing of your visa application:
- Submit your passport and required documents within the specified timeframe.
- By providing your documents, you authorize Rayna Tours to process them for visa submission.
- Embassy appointments are based on availability and may change if documents are incomplete.
After processing, Rayna Tours will return your documents—including travel vouchers, appointment letters, and insurance certificates—with reasonable care. You must acknowledge their receipt via email on the same day. Any changes requested thereafter may incur additional fees.
If you identify discrepancies on your issued visa, notify us immediately. Failure to do so will be considered acceptance, and Rayna Tours will not be liable for related issues.
Any change in travel plans or additional requirements must be communicated in advance. Non-compliance is solely your responsibility.
3. Fees & Payment Methods
To avail Japan visa services, all visa processing fees and service charges must be paid in full at the time of application.
Payments may be made using:
- Credit card
- Debit card
- Online bank transfer
Visa fees, service charges, and requirements are subject to change without prior notice in line with Embassy/Consulate regulations. Payments are processed immediately.
4. Processing Time
Visa processing time varies according to the Embassy/Consulate and nationality of the applicant. All processing times provided by Rayna Tours are estimates based on experience, and:
- Begin the business day after receipt of complete documents
- Exclude weekends and public holidays
- May be affected by unexpected Embassy/Consulate closures
Rayna Tours is not responsible for any delays in visa approval.
5. Approval and Rejection of Visas
The decision to approve or reject a visa application is solely at the discretion of the Embassy/Consulate of Japan.
Rayna Tours has no authority to influence visa outcomes and cannot provide guarantees.
All evaluations and assessments are conducted strictly by the issuing authority.
6. Cancellation & Refund Policy
Once your visa file is opened and documents are submitted:
- All payments made to the Embassy/Consulate are non-refundable, irrespective of visa approval or rejection.
- Rayna Tours’ service fee is refundable only if you cancel before submission of the application to the Embassy/Consulate.
- A partial refund of up to 50% may be granted in such cases (administration and banking charges are excluded).
After submission:
No refunds will be issued for changes in visa regulations, processing delays, or rejection.
Credit card transactions older than one month cannot be refunded; however, a service credit may be issued for future visa services with Rayna Tours.
Information regarding visa packages, fees, and requirements may change without notice. Clients are encouraged to check our website regularly for updates.
7. Privacy Policy

8. Use of Intellectual Property
All content displayed on Rayna Tours’ website—including text, images, graphics, and trademarks—is the exclusive property of Rayna Tourism LLC and protected by copyright law.
Unauthorized actions such as copying, publishing, modifying, re-posting, or selling content are strictly prohibited.
Misuse of Rayna Tours’ logo, trademarks, or branding may result in legal action.
Rayna Tours is not responsible for content on third-party websites linked from our platform. Access to external links is entirely at your own risk.
9. Applicable Law & Language
These Terms and Conditions are governed exclusively by the laws of the United Arab Emirates (UAE).
All disputes arising from Japan visa services provided by Rayna Tours shall be resolved under the jurisdiction of UAE federal courts.
All correspondence must be in English. Rayna Tours is not responsible for errors in documents submitted in other languages.
10. Indemnity
By using Rayna Tours’ visa services, you agree to indemnify Rayna Tourism LLC against:
- Any loss, damage, or expense arising from your violation of these Terms and Conditions
- Fraudulent actions by you or your representatives

We do not guarantee that:
