General Disclaimer
The application processing time and decisions on visa applications are the sole prerogative of the Embassy or Consulate. VFS Global has no role to play in these areas of the application process. Possession of an approved visa does not guarantee entry ā final entry is at the sole discretion of Austrian immigration officials.
Terms, Conditions & Important Guidelines
1. Scope of Service
Rayna Tours operates solely as a professional visa assistance provider.
Our role is to guide applicants through the Schengen visa process ā
including document compilation, application assistance, and biometric
appointment scheduling at the respective embassy or Visa Application
Centre (VAC). We do not represent, act on behalf of, or have any
affiliation with any Schengen embassy or consulate.
2. Visa Decision & Discretionary Authority
All decisions relating to visa approval or rejection, number of entries,
permitted stay duration, additional documentation requests, interview
requirements, and biometric obligations rest solely and entirely with
the issuing embassy or consulate. Rayna Tours has no influence over, and
accepts no liability for, the outcome of any visa application. During
the examination of an application, the consulate reserves the right to
request additional supporting documents beyond the standard checklist
and may call the applicant for a personal interview at its sole
discretion.
3. First Point of Entry
Your first point of entry into the Schengen Area must be the country
that issued your visa. Entering through a different country may result
in questioning at the border, and entry is not guaranteed ā this
decision rests entirely with the Border Control Officer at the port of
entry. Adhering to this rule not only ensures a smooth immigration
experience but also positively supports future visa applications.
4. Majority of Stay in the Issuing Country
The primary purpose of your visit must align with the details submitted
in your visa application. As a general guideline, applicants should
spend the majority of their time ā at least 50% of the approved stay ā
in the country that issued the visa. Deviating significantly from the
declared itinerary may raise concerns during future applications or at
the point of entry.
5. Biometric Appointments
Where required, our team will make every effort to secure the earliest
available biometric appointment at the designated embassy or VAC.
However, the release, availability, scheduling, rescheduling,
postponement, or cancellation of appointment slots is managed
exclusively by the respective embassy or VAC and is entirely beyond our
control. Any such changes will be communicated to applicants promptly,
with all possible assistance provided to navigate the updated process.
A minimum gap of 15 days between the biometric appointment date and the intended travel date is mandatory. Applicants are required to attend their appointment on the confirmed date and time. Failure to appear may result in delays, forfeiture of the slot, and the requirement to rebook ā subject to availability and applicable fees.
Please note: The completion of a biometric appointment does not constitute, imply, or guarantee visa approval or the right to enter any Schengen member country.
6. Overstaying Your Visa
Overstaying a Schengen visa ā whether intentional or not ā is recorded
by immigration authorities across all member states. Consequences may
include financial penalties, immediate deportation, or a ban from
re-entering the Schengen Area. Applicants are strongly advised to plan
their travel strictly within the dates and duration approved on their
visa.
7. Non-Refundable Fees & Booking Integrity
All fees paid in connection with the visa application ā including
embassy visa fees, biometric charges, VAC service fees, and Rayna Tours
service charges ā are strictly non-refundable once the application
process has been initiated, regardless of the outcome of the application
or the applicant's ability to travel.
Rayna Tours strongly advises against the use of dummy or provisional hotel and flight bookings when submitting a Schengen visa application. Applicants must submit genuine, confirmed bookings. The use of fabricated travel documents may result in immediate visa refusal and can adversely impact future applications.
8. Understanding Schengen Visa Refusal Letters
Schengen visa refusal letters are intentionally drafted in broad,
standardised language. This is consistent across all 29 member states
and is by design, for the following reasons:
Standardisation ā With 29 member countries each operating their own consular systems, refusal letters follow a uniform format to ensure consistency across the Schengen Area and to align with the shared legal framework governing visa decisions.
Legal Protection ā Refusal letters are intentionally drafted in broad, standardised language in accordance with established visa regulations and the legal framework governing consular decisions. The specific reasoning behind a refusal is considered a matter of consular discretion and, where applicable, may be subject to confidentiality in the interest of regulatory compliance and administrative integrity.
Multiple Grounds ā A refusal may be based on several concurrent factors. Rather than listing every individual concern, the letter references the relevant legal ground, keeping the communication clear and administratively manageable.
Processing Efficiency ā Consulates process thousands of applications annually. Standardised refusal letters allow visa officers to manage high volumes efficiently, particularly in complex or borderline cases.
9. Force Majeure & Circumstances Beyond Our Control
Rayna Tours shall not be held liable for delays, disruptions, or changes
arising from circumstances beyond our control, including embassy
closures, system outages, policy changes by issuing authorities, or any
force majeure event. Our team will at all times endeavour to provide
timely guidance and support under such circumstances.
